Hello Gergana, Sorry for the delay in getting back to you, but I finally managed to talk to the people involved in helping organizing the event yesterday, so here are the (some) answers:
Yes, we would like to host the EARN 40th year anniversary meeting in Athens before the RIPE NCC SEE 12 meeting, i.e. on Saturday 20 and Sunday 21 April 2024.
We would appreciate if you could extend the hotel booking for us. At this time we guesstimate 30 to 60 participants. We would need a meeting room for Saturday afternoon, and Sunday all day, but no particular equipment except a projector/microphone/sound system for the presentations. Concerning food we would need to organize a dinner for Saturday and Sunday night, a lunch for Sunday, and coffer breaks for Saturday afternoon, and Sunday morning and afternoon.
I'll be happy to prepare a tutorial for the Monday morning SEE 12 meeting.
Do you know already where precisely is the venue in Athens? We shall start looking for sponsors for the food and it would help to know more details about the venue, thank you.

Mirjam mentioned to me that you might be interested in holding it before or after the RIPE NCC SEE 12 meeting in Athens. The SEE 12 meeting is currently scheduled to take place on 22-23 April 2024 (Monday and Tuesday). We are looking to confirm the hotel in October.
Please let me know if you are interested, and if yes, I'd appreciate if you share a few details with me, such as: - What sort of venue requirements would you have for EARN's anniversary? We can check with the hotels we are currently talking to, and put you in touch with the selected one - What about the dates? there is a small chance that we could switch to 23-24 April if that is more convenient (of course need to check if that's ok with the local host and the hotels). Please let me know if that makes a difference. - Usually the SEE 12 meetings start with tutorials on the morning of the first day. Would you be interested in delivering one about the development of networks and networking? - Anything else?

* RIPE 88 will run from 13 - 17 May 2024. * EARN Anniversary is expected start on Friday 17th May in the afternoon and end on Saturday 18th May in the (late) afternoon. * Expecting 50 - 60 attendees. * One meeting room is all that’s required for this, plus space for a coffee break area. * For the event you would require the RIPE meeting network and some staff from out tech team to keep it running and to take it down after the event has finished. * Would you also allow for remote participation/presentation at the event? As you mentioned these are retired networkers and could be irreplaceable should something prevent them from being able to attend in person, having the option to watch and/or present online could be good to consider. * We have an in-house built registration software, would you like to make use of this for your event’s registration?
