Register for Electronic Voting on RIPE NCC General Meeting Resolutions

Dear colleagues, There is one week left to register for electronic voting at the upcoming RIPE NCC General Meeting (GM) in Vienna on 2 November 2011. If you have not yet registered, you will receive an email from the RIPE NCC inviting you to register for electronic voting with the BigPulse system. You should follow the instructions in the invitation email if you wish to register for electronic voting. Electronic voting will be facilitated for all GM resolutions. The resolutions are available in the draft agenda at: http://www.ripe.net/lir-services/ncc/gm/november-2011/draft-agenda The supporting documents for the GM are available at: http://www.ripe.net/lir-services/ncc/gm/november-2011/documents The voting period will begin after the resolutions are presented to the membership on 2 November and will remain open until 3 November at 14:00 (UTC +1). The extended voting period will give members in all time zones in the RIPE NCC service region adequate time to cast their votes. The RIPE NCC uses BigPulse, a third party that specialises in web-based voting solutions, to conduct the poll. The deadline to register for electronic voting is 19 October 2011 at 23:59 (UTC). Those physically attending the GM who wish to vote electronically must also register by 19 October. NOTE: It will not be possible to register to vote electronically on the day of the GM. If you think you are entitled to vote but do not receive the invitation to register by 18:00 (UTC) on 13 October, please contact <agm(a)ripe.net> to let us know. You will receive an email inviting you to register for electronic voting. The subject of the email will be "Register Now: RIPE NCC Electronic Voting on Resolutions". 2. Click the link in the email to bring you to the BigPulse registration pages. 3. Select the LIRs you are entitled to vote for and click "Submit". 4. On the next page, confirm your selection. 5. On the final page, you will receive instructions to complete your registration. You will need to submit a copy of your passport or ID to the RIPE NCC. If you submitted your ID previously for a RIPE NCC Executive Board election, you only need to email <agm(a)ripe.net> to let us know.

Following feedback we've collected over past editions, we focused on redesigning the Member Update to make it more visually appealing to read as well as more timely and informative. In addition, by moving the Member Update from printed to PDF format we hope to fulfil requests made by members for the RIPE NCC to reduce the amount of printed material that it sends. RIPE NCC General Meeting November 2011: Agenda and Supporting Documents

Dear RIPE NCC member, The draft agenda and supporting documents for the RIPE NCC General Meeting (GM) November 2011 have now been published. The draft agenda for the GM is available at: http://www.ripe.net/lir-services/ncc/gm/november-2011/draft-agenda The supporting documents are available at: http://www.ripe.net/lir-services/ncc/gm/november-2011/documents Meeting Details ---------------- The GM will begin on Wednesday, 2 November 2011 at 16:00 (UTC +1). It will be held adjacent to the RIPE 63 Meeting, which takes place from 31 October-4 November 2011. The GM will consist of two parts: - The RIPE NCC Services Working Group will begin at 16:00 (UTC +1) and will include the presentation of the Report from the RIPE NCC. This part of the GM is open to everyone. - The second part of the GM follows immediately after and is open only to RIPE NCC members who have registered for the GM. This part of the meeting is the forum where RIPE NCC members can discuss the operations and activities of the RIPE NCC and exercise their voting rights. For this GM, the Executive Board will allow electronic voting for all resolutions. The voting period will begin on Wednesday, 2 November according to the GM agenda and will remain open until 14:00 (UTC +1) on Thursday, 3 November. The GM voting period will continue but the physical meeting will be postponed until 15:45 (UTC +1) on Thursday, when the Chairman of the GM will announce the results of the votes on the GM resolutions. The Executive Board is extending the voting period for this GM to make it as convenient as possible for RIPE NCC members in the entire RIPE NCC service region to cast their votes. The GM will be webcast, so all RIPE NCC members will be able to follow proceedings and have time to vote on all resolutions. As a member, you can attend both the RIPE NCC Services Working Group session and the members-only section of the GM without being registered for the RIPE 63 Meeting. In the event that your organisation is to be represented by a director or an authorised employee, the registration form should state the name(s) of the employee(s) or director(s). If more than one authorised person is to attend the GM, the person who registers first will be assigned the voting rights. Proxy Voting ============ If your organisation is to be represented by a third party, not being an authorised employee or director, please fill out the proxy form and send it to us by 19 October 2011. Any proxy sent to us after this date will not be valid. The proxy form is available to download here: http://www.ripe.net/gm-nov2011/proxy-form Report from the RIPE NCC ======================== The Report from the RIPE NCC presentation will be given during the RIPE NCC Services Working Group session during RIPE 63, which constitutes the first part of the GM. GM attendees who have not registered for the RIPE Meeting are welcome to participate in this working group session. This takes place on Wednesday, 2 November 2011 from 16:00-17:30 (UTC +1), immediately before the members-only section of the GM. The Report from the RIPE NCC presentation will not be repeated in the members-only section of the GM. Voting and Resolutions ====================== Candidate members are welcome to attend the GM but are not permitted to vote according to article 16.7 of the RIPE NCC Articles of Association. Full members who are not able to attend the GM but still want to vote can do so by means of proxy voting as per article 16. Please also note that the GM can only pass resolutions that have been submitted and published according to article 15 of the RIPE NCC Articles of Association. Ensure you are a contact person for your LIR. You can use your LIR Portal account to check this. 2. Go to http://www.ripe.net/gm-nov2011/registration and enter your name and RegID. If you represent more than one LIR, you should add the RegIDs for these LIRs on the login page. Click "Add More" to do this. 3. Enter your details on the registration form. 4. When you complete the registration process, you will receive a confirmation email with your registration number. 5. On 2 November, go to the GM Registration Desk to receive your meeting pack, voting slips and pass to enter the GM.
